Set up a new academic year
The steps to get a new year ready: year, terms, classes, timetables and grading.
Do this before the new year starts, in this order. Each step needs the one before it. Existing years and classes are kept, so nothing from last year is lost.
- Open Academics → Academic years & terms and press Add year. Enter the name, structure and dates. Leave Set as current unticked until the new year begins.
- On the same page, press Add term for each term, and assign it to the new year with its start and end dates.
- Check Grade & section names. Add any new grades or sections you need for the year.
- Check Subjects, and use the Grades & periods per week button if the subjects or their weekly periods have changed.
- When the year begins, edit the new year and tick Set as current. The previous year stops being current.
- Open Academics → Classes and press Add class for each grade and section, choosing the new Academic year and Term. Set the capacity and the class teacher.
- Check Academics → Bell times. Add or adjust the schedules, and use Assign classes to point each class at its schedule.
- Open Academics → Class timetable, pick each class and place its lessons. Use Copy a day to save time.
- Check Academics → Grading scheme so the grade bands are correct for the year.
- Move students into their new classes (Misc → Promote to next class), then check Academics → Classes to confirm the enrolled numbers.
