Refund or correct a bill
Which page to use when money must go back or a bill is wrong.
Nothing is deleted. Every correction leaves a record. Pick the case that fits.
Which one do I use?
- A payment was entered wrongly: open the bill on Fee bills and select Reverse beside the payment. The balance goes back up. Then record the correct payment.
- A bill is too high and some of it should be waived: use Correct a bill. Send a request, then someone with approval rights approves it.
- A bill was made by mistake and has no payments: open it on Fee bills and select Void invoice.
- A bill has payments and must be cancelled: reverse the payments first, then void it.
- One bill needs a quick discount: use Apply a concession inside the bill on Fee bills.
- A student is leaving: use Refunds when leaving. It sets the deposit against what they owe.
- A deposit should be returned without a withdrawal: use Security deposits and select Refund.
Correct a bill with approval
- Open Fees → Correct a bill and select Add adjustment.
- Find the invoice, choose Fixed amount or Percentage, enter the value and the Reason.
- Select Send for approval.
- A person with approval rights opens the Waiting tab and selects Approve.
- Check the bill: its balance is lower, and the request now shows on the Applied tab.
