This is the full list of bills, one page at a time. The search and the filter are saved in the page address, so the Back button and shared links work.

What you see on this page

  • Search invoices: type a student name or bill number and press Enter.
  • Filters: All, Unpaid, Overdue and Paid, each with a count.
  • Columns: Invoice, Student, Class, Month, Total, Paid, Balance and Status.
  • View (eye icon): opens the bill's details.
  • Collect payment (coin icon): opens Collect fees for that bill. It shows only for unpaid bills, to people who can collect.
  • Add invoice and Generate bills: shown to people who manage fees.

Create the monthly bills for a grade

  1. Select Generate bills.
  2. Choose the Grade. The list shows how many students it has.
  3. If the grade has other plans, a Bill list appears. Keep Monthly fees, or choose a plan.
  4. Check the amount shown per student.
  5. Choose the Billing month and the Due day (1 to 28, default 10).
  6. Select Generate bills. A message says how many were created and how many students were already billed.

What goes on a generated bill

  • One line for each active fee head for the grade.
  • The transport fee only for students on a transport route, and the activity fee only for students in an activity.
  • Any standing discount you created for the student under Discounts & scholarships.
  • Only active students enrolled in that grade.

Add a single bill

  1. Select Add invoice.
  2. Pick the Student.
  3. Choose the Fee head and enter the Amount.
  4. Type a Description, for example the name of a trip.
  5. Optionally set a Due date.
  6. Select Add invoice.

Inside a bill (the details panel)

  • Summary: subtotal, discount, late fees, paid and balance due, with the status.
  • Line items: description, quantity, unit price and amount.
  • Payments history: date, method, reference and amount. Print gives a receipt for that payment. Reverse undoes a payment. A cheque waiting to clear shows Cleared and Bounced.
  • Concessions applied: discounts already on this bill.
  • Manage invoice: Issue invoice (for a draft), change the Due date and Save due date, or Void invoice.
  • Apply a concession: give this one bill a discount by Name, Type (percentage or fixed amount), value and an optional Reason.
