A role is a named bundle of permissions. Every user has one role. The built-in roles cover the normal kinds of person, and you can add custom roles such as Accountant for people with a narrower job.

What you see on this page

  • One card per role, with its name, a badge, the number of members and the number of permissions.
  • Badges: Locked (cannot be changed), System (built in) and Custom (made by you).
  • On an editable role, the permissions grouped by area (people, classes, attendance, results, fees, admissions, transport, library, communication, setup and more), each with a tick box.
  • A Save permissions button at the bottom of the open role.
  • An Add role button at the top right.

Add a custom role

  1. Click Add role.
  2. Enter a Role name (required, up to 40 characters) and an optional Description.
  3. Click Add role. Then tick the role's permissions on its card.

Change a role's permissions

  1. Find the role. If its tick boxes are folded away, click Edit permissions.
  2. Tick or untick the permissions. A greyed box is one you do not hold yourself, so you cannot grant it.
  3. Click Save permissions. The message Permissions updated appears.

Delete a custom role

  1. Make sure no one has the role. Move their users to another role first.
  2. Click the delete icon on the role card and confirm. The icon only appears for custom roles with zero members.

Common permissions you will see

  • View, create, edit, delete and export for people.
  • Mark and edit attendance.
  • Enter, edit and approve results.
  • Collect payments, manage fee setup, and approve adjustments and refunds.
  • Post and publish communications.
  • Manage school setup & roles: this one opens every page in Setup for changes.
