Take an applicant from enquiry to admitted
Follow one child from first contact to a student record in a class.
This is the full path for one family, from first contact to a place at the school. You can do every step from the Applicants page.
- Get them in. If the parent applies on your online form, the child arrives at the Application stage with a registration code and a confirmation email. If someone phones or visits, click Add applicant and fill in the name, grade, campus and parent details. They start at Inquiry.
- Check the details. Click their name to open the details panel. Look at the profile and any Application answers. Click Edit details to correct anything, and add the parent's email so you can write to them.
- Move them on. Click the arrow (Advance) when they are ready for the next stage: Application, Interview, Test, then Offer.
- Write to the parent. In the details, click Send a letter, choose the letter for this stage, check the preview and click Email to parent. Fill in any missing details, such as the interview date, first.
- Make the offer. Advance them to Offer. Their status becomes Offered. Send the Offer of a place letter.
- Admit them. When the family accepts, click the tick (Accept) and confirm. The applicant moves to Admitted.
- Check the result. The message tells you which class the new student was placed in. A guardian record is created too. Open Users → Students to see the new student.
- If a child will not be going ahead, click the cross (Reject), choose a reason and save. You can reopen it later if the family changes its mind.
